Welcome to BearClub Ballerz Football Club! These Terms and Conditions outline the rules and expectations for participation in our club. By registering with BearClub Ballerz, you confirm that you have read, understood, and agreed to these terms.
1. General Terms
1.1. BearClub Ballerz is a football skills-based club focused on player development, technique, and enjoyment of the game.
1.2. Membership is open to players of all skill levels, subject to availability and eligibility criteria.
1.3. The club reserves the right to update these Terms and Conditions at any time. Any changes will be communicated via email or the official website.
2. Safeguarding & Child Protection
2.1. BearClub Ballerz is committed to providing a safe environment for all participants.
2.2. All coaches and staff working with children undergo enhanced background checks (e.g., DBS checks in the UK or equivalent in other countries).
2.3. The club follows a Safeguarding Policy, and concerns related to child safety should be reported to the Designated Safeguarding Officer (DSO).
2.4. Parents/guardians must ensure that children are collected promptly after sessions. The club is not responsible for players once a session has ended.
3. Registration & Fees
3.1. All participants must complete a registration form, provide accurate personal information, and submit necessary documents before attending sessions.
3.2. Membership fees and session payments are non-refundable, except in circumstances outlined in Section 10 (Refund & Cancellation Policy).
3.3. Late payments may result in temporary suspension from sessions until fees are cleared.
3.4. Any discounts, promotions, or sponsorships must be approved by BearClub Ballerz management.
4. Code of Conduct
4.1. Players must show respect for coaches, staff, teammates, and all participants at all times.
4.2. Any form of bullying, discrimination, or inappropriate behavior will not be tolerated and may result in suspension or dismissal.
4.3. Players must arrive on time, wear appropriate football attire, and follow coach instructions.
4.4. Parents/guardians must behave respectfully during sessions and avoid interfering with coaching activities.
5. Health & Safety
5.1. Players must inform the club of any pre-existing medical conditions before participation.
5.2. The club ensures that first aid-trained staff are present at sessions, and emergency procedures are in place.
5.3. Players must wear shin guards and appropriate footwear for safety.
5.4. In case of injury, the club will provide first aid assistance and notify parents/guardians as soon as possible.
6. Attendance & Commitment
6.1. Players are encouraged to attend sessions regularly to ensure progress.
6.2. If a player cannot attend a session, the club should be notified in advance.
6.3. Repeated absences without valid reasons may impact participation in future sessions.
7. Weather Policy & Session Cancellations
7.1. Sessions will proceed in all weather conditions, including rain and cold temperatures, unless deemed unsafe by the club (e.g., extreme weather, lightning, or unsafe pitch conditions). Players should dress appropriately for the weather.
7.2. If the club needs to cancel a session due to unforeseen circumstances (e.g., venue closure, coach unavailability), a replacement session will be offered where possible.
7.3. If a player misses a session for personal reasons, no replacement session or refund will be provided.
8. Equipment & Facilities
8.1. Players must respect and take care of club-provided equipment and facilities.
8.2. Any intentional damage to property may result in penalties, including fines or suspension.
9. Media & Data Protection (GDPR Compliance)
9.1. The club may take photos/videos of players during sessions for promotional purposes (e.g., social media, website, or marketing materials).
9.2. If a parent/guardian does not wish for their child’s image to be used, they must inform the club in writing at the time of registration.
9.3. Data Protection:
• BearClub Ballerz collects and stores personal data (e.g., player name, contact details, medical info) solely for club administration and safety purposes.
• Data is kept secure and not shared with third parties without consent, except where required by law.
• Parents/guardians can request access, correction, or deletion of their data at any time by contacting the club.
10. Liability & Insurance
10.1. While BearClub Ballerz takes all reasonable precautions to ensure player safety, football is a contact sport, and injuries can occur. Participation is at the player’s own risk.
10.2. The club is not liable for injuries sustained during training or events unless due to proven negligence.
10.3. Parents/guardians are encouraged to have personal injury insurance for their child.
11. Refund & Cancellation Policy
11.1. No refunds will be issued for missed sessions due to player absence.
11.2. If a player withdraws from the club after registration, any refunds will be considered at the club’s sole discretion, depending on the circumstances.
11.3. If the club must suspend operations for more than four consecutive weeks, affected players may be offered either a credit for future sessions or a partial refund.
11.4. If a player is dismissed from the club due to breaches of the Code of Conduct, no refunds will be provided.
12. Termination & Dismissal
12.1. The club reserves the right to suspend or remove any player who:
• Fails to follow the Code of Conduct.
• Engages in misconduct that disrupts sessions.
• Poses a safety risk to others.
12.2. In cases of serious misconduct, dismissal may be immediate.
